What is covered every month
The following services are included in the flat monthly fee for all managed IT clients. No per-incident charges, no add-on surprises.
24/7 Proactive Monitoring
Continuous monitoring of servers, endpoints, network devices, and cloud services. Issues are identified and acted on before they reach your team.
Unlimited Remote Helpdesk
No per-ticket charges. Staff can log issues, request support, and get help from senior engineers without worrying about adding to a bill.
Monthly Patch Management
Automated patching for Windows, macOS, and third-party applications. Patches are tested and staged before deployment across your environment.
Endpoint Security
Endpoint detection and response, anti-malware, and policy enforcement across all managed devices. Security events are reviewed and responded to as part of the service.
Microsoft 365 Administration
User provisioning, licence management, Exchange Online, Teams, SharePoint, and Intune device management. All Microsoft 365 administration is handled within your monthly fee.
vCIO Quarterly Reviews
Scheduled technology roadmap sessions each quarter. We review performance, upcoming needs, budget planning, and strategic priorities with a senior technology advisor.
Fixed-price projects
What is quoted separately
The following items are outside the monthly managed services fee. They are always quoted at a fixed price before any work begins. You approve the scope and cost first.
New Deployments and Migrations
New server builds, cloud migrations, major network upgrades, or new application rollouts are quoted as fixed-price projects and approved before work begins.
Sage 300 and ERP Implementations
Full ERP implementations, module additions, custom report development, and data migrations are fixed-price engagements scoped separately from managed services.
Hardware Procurement
Physical equipment such as servers, switches, workstations, and peripherals are procured at cost plus a handling fee. We recommend and source hardware but bill it separately.
On-Site Project Work
Large on-site deployments outside the normal scope of managed support are quoted per project. Routine on-site visits for managed clients in Metro Vancouver are included.

Managed IT services pricing varies by the size of your environment and the scope of services required. A business with 15 users has different needs and a different fee than a business with 80 users running Sage 300 ERP across multiple locations. There is no meaningful way to publish a universal rate that applies fairly to all situations.
Our process starts with a complimentary technology assessment. We document your current environment, understand your business context, and identify what you need. From that assessment we provide a written proposal with a fixed monthly fee and a clear description of exactly what is covered and what is not.
There is no obligation attached to the assessment and no cost. If our proposal is not the right fit, you keep the documentation we produced as a reference for any other provider you speak with.

How does SFS Technologies price managed IT services?
We use a flat monthly fee model. You pay one predictable amount each month that covers 24/7 monitoring, unlimited remote helpdesk support, monthly patch management, endpoint security management, Microsoft 365 user administration, and quarterly vCIO reviews. There are no per-ticket charges and no surprise invoices for covered work.
What factors affect the monthly fee?
The monthly fee is based on the number of users and devices under management, the scope of services included (for example, whether Sage 300 ERP support is part of the agreement), and any specific compliance or reporting requirements. We assess your environment during discovery and provide a fixed quote before any commitment is made.
Are implementation and project work included in the monthly fee?
No. New deployments, migrations, major infrastructure projects, and Sage 300 implementations are quoted separately as fixed-price projects. The monthly fee covers ongoing management and support. Any out-of-scope work is scoped, priced, and approved by you before work begins.
How does SFS price Sage 300 ERP implementations?
Sage 300 implementations are fixed-price contracts. The price is determined during discovery based on the number of modules, number of users, data migration complexity, and training requirements. We provide a detailed scope and fixed price before you commit. There are no open-ended time and materials billing.
Is there a minimum contract length?
Managed IT services agreements are typically structured as annual contracts. This allows us to commit the right level of resources and provides you with pricing stability. We discuss term options during the discovery call and can accommodate different arrangements depending on your situation.

Do you charge differently for businesses outside Metro Vancouver?
Remote-only engagements for businesses outside Metro Vancouver are priced based on scope of services rather than location. On-site work for Metro Vancouver clients is included where needed within the managed services agreement. For clients outside the Lower Mainland or in the United States, all work is delivered remotely.
