Non-Profit IT

Real non-profit experience. Not a template page.

SFS Technologies built a full Sage 300 and Sage CRM integration for a BC community services non-profit providing interpretation and translation services to provincial government ministries. The project covered 65-plus languages configured as Sage 300 inventory items, a pool of 100-plus contracted interpreters and translators, and an automated workflow connecting CRM scheduling to Sage 300 invoicing and vendor payments.

That implementation is documented at the community services case study. It is not a generic MSP pitch. It is a working system for a BC non-profit managing complex government-contracted service delivery.

Beyond ERP, SFS delivers managed IT, Microsoft 365, and cybersecurity for non-profits across Metro Vancouver and BC. Fixed-price engagements, named engineers on every account.

What BC nonprofits and charities deal with

Non-profit organizations in BC face technology challenges that are distinct from for-profit businesses: constrained budgets, mixed workforces, and compliance obligations that many nonprofits are not aware of until they become an issue.

Accessing technology at nonprofit pricing

Microsoft offers substantial licensing discounts to registered Canadian charities through Microsoft 365 Nonprofit plans, often 90 percent or more below commercial pricing. Access to these discounts requires registration through Microsoft and ongoing verification. SFS helps BC nonprofits qualify for and configure these plans as part of a Microsoft 365 deployment, making enterprise-grade tools accessible at a cost that fits nonprofit budgets.

Donor data and CRA compliance requirements

Charities registered with CRA are subject to PIPEDA for donor personal information: names, addresses, donation amounts, and contact history. CRA's T3010 annual filing requires accurate financial records from your accounting system. SFS configures both the technical controls that protect donor data and the Sage 300 environment that produces the financial data your compliance obligations require.

Volunteer access and mixed device environments

Nonprofits often have mixed workforces of staff and volunteers who need varying levels of system access and use a range of personal and organization-owned devices. SFS configures role-based access so volunteers can reach only what their role requires. Microsoft Intune applies security policies to managed devices without creating barriers for volunteers using their own equipment.

Cybersecurity on constrained budgets

Nonprofits are not exempt from ransomware and phishing attacks. Donor databases, employee records, and government contract data are all valuable targets. Microsoft 365 Nonprofit Business Premium includes Microsoft Defender for Business, which delivers endpoint protection and email security at a price point accessible to most BC nonprofits. Proper configuration of existing Microsoft tools is often sufficient to substantially improve security posture without additional spend.

Non-Profit IT FAQ

Common questions about IT and ERP for BC non-profits.

Common questions about this service answered directly.

Does SFS Technologies have experience working with non-profit organizations?

Yes. SFS Technologies has built a full Sage 300 and Sage CRM integration for a BC community services non-profit that provides interpretation and translation services to provincial government ministries. The integration covered 65 languages configured as Sage 300 inventory items, 100-plus contracted vendors, automated work order creation, and invoice generation from Sage CRM service delivery data. See /case-studies/community-services-sage-300-crm-integration for details.

Can Sage 300 ERP be configured for a non-profit organization?

Yes. Sage 300 is well suited for non-profits that need to track program costs, manage vendor payments, generate funder-specific financial reports, and maintain accurate accounts receivable from government contracts. The chart of accounts, cost centres, and reporting structure can be configured to reflect the way your organization tracks funding sources and program expenditures.

What IT infrastructure does a typical BC non-profit need?

Most non-profits in BC need managed IT covering workstations, servers, and network infrastructure, Microsoft 365 for staff collaboration and email, cybersecurity that meets PIPEDA obligations, and secure cloud infrastructure for staff working across multiple sites. For non-profits receiving government funding, documented data handling practices and access controls are typically part of compliance expectations.

How does SFS Technologies price IT services for non-profits?

All SFS Technologies engagements use fixed-price models. Managed IT is billed as a flat monthly fee based on user count and scope. ERP and integration projects are scoped and priced as fixed-price engagements before work begins. We can discuss your specific situation during a complimentary assessment.

Can Sage CRM be used to manage contractor or volunteer scheduling at a non-profit?

Yes. Sage CRM can be configured to track contractor or volunteer availability, assignments, and interaction history. When integrated with Sage 300, work orders created in Sage CRM can automatically generate purchase orders and billing documents in Sage 300. This pattern was used in the community services case study mentioned above.
